About the Role
You will be taking on the role of Head of Office – Executive Assistant to the Managing Director.
This is a high-impact, strategic position that requires exceptional organization, proactiveness, business maturity, and strong technological fluency. You will work closely with the Managing Director and operate as a trusted extension of the MD’s office.
Your role goes beyond traditional executive assistance. You will take ownership across:
- Communication management
- Business execution
- Operational oversight
- International coordination
You will be responsible for ensuring that:
- Priorities are clearly understood and effectively driven across teams
- Decisions taken by the MD are actively followed through to completion
- Communication—both internal and external—is timely, structured, and professionally managed
This role demands ownership, not just coordination.
It is not sufficient to pass on instructions or circulate updates. You are expected to:
- Ensure operational activities are actually executed
- Track progress rigorously until full closure
- Follow up consistently with stakeholders
- Proactively identify and resolve bottlenecks
Success in this role comes from closing the loop — not merely initiating tasks, but ensuring they are completed accurately and efficiently.
You will frequently represent the MD’s office in internal and external interactions. Clarity of thought, executive communication skills, discretion, and a high level of accountability are essential.
Key Responsibilities
1. Communication Management
- Own and manage the priority inboxes and communication channels end-to-end
- Review, prioritize, draft, and respond to correspondence on behalf of the MD
- Maintain professional tone, clarity, and structure in all communication
- Track communication threads and ensure follow-through on commitments
- Coordinate with domestic and international stakeholders
2. Executive & Calendar Management
- Manage the MD’s calendar, meetings, travel, and daily priorities
- Align meetings with business priorities
- Prepare meeting briefs, agendas, and structured summaries
- Anticipate scheduling conflicts and proactively resolve them
3. Business Execution & Follow-Through
- Track MD-led initiatives and key business priorities
- Maintain structured trackers and dashboards
- Follow up across teams to ensure timely execution
- Ensure no critical tasks or deadlines are missed
- Escalate risks and delays proactively
4. Operational Oversight
- Support cross-functional coordination across departments
- Monitor execution against committed timelines
- Identify inefficiencies and recommend improvements
- Ensure structured reporting visibility for the MD
5. International Coordination
- Interface with international clients, partners, and stakeholders
- Manage communication across time zones
- Ensure clarity and responsiveness in global interactions
6. Strategic & Administrative Support
- Attend key meetings and track action points
- Prepare reports, presentations, and business summaries
- Maintain structured documentation and confidential records
Qualifications
- Graduate in Business Administration, Commerce, Management, or related field. - Minimum 5 years of experience as Executive Assistant / Personal Assistant to senior management. - Strong communication, coordination, and organizational skills. - Proficiency in MS Office (Excel, Word, PowerPoint, Outlook). - Ability to handle confidential information, meetings, travel coordination, and calendar management professionally.
